Running a short-term rental business is all about delivering a smooth guest experience and operating with professionalism. That’s why at RentalWise, we offer you the tools to generate and send documents automatically or manually—whether it’s an invoice, guest agreement, or a custom message template.

These features aren’t just about paperwork—they help you build trust, maintain transparency, and save time.


What Are Document Templates?

Document Templates are pre-configured, customizable files that you can generate, download, or share via public link. Whether you need an invoice, a guest confirmation, or a custom booking document, these templates allow you to send polished, branded content to your guests.

By default, your account comes with two ready-made templates:

  1. 1. Invoice

  2. 2. Guest Agreement Confirmation

These can be easily customized to match your branding—change fonts, background colors, and content based on your needs.


Where to Find Document Templates

You can manage your document templates here:
Settings → Document Templates

Once there:

  • Click Edit on a template to adjust it.

  • Enable options such as:

    • Allow multiple documents: Create more than one document per record.

    • Public page: Generate a public link so you can share documents directly.

Two Ways to Use Documents

There are two ways to use documents with RentalWise:
A. Manually, from each booking
B. Automatically, via message automation


A. How to Manually Generate & Send Documents

Let’s say you want to generate an invoice for a recent booking:

Steps:

  1. 1. Go to CRM → Bookings and select the relevant booking

  2. 2. Scroll to the Documents section

  3. 3. Click Preview to ensure all information is accurate


    🔒 Note: The preview only works if the guest has completed the Online Check-in Form

  4. 4. Click the + sign to Generate

  5. 5. A new tab will open with your document

Now you can:

  • Download the file and attach it as a PDF

  • Or, copy and share the public link (only if Public Page is enabled)


B. How to Automate Document Generation

Automating documents helps save time and ensures consistency in communication. Here’s how to set it up:

Step 1: Create the Message Template

  • Go to Messages

  • Draft your message (e.g., Payment Confirmation) and mention the attached document

Step 2: Configure the Automation

  • Go to Automations and start a new one

  • In Step 4 (Automation Configuration):

    • Select the document template you want to auto-generate

    • Set a condition: Online Check-in Completed to ensure data accuracy


Once active, every qualifying booking will trigger the message and attach the document automatically.
