This guide explains how RentalWise integrates with Booking.com rate plans and how to set up multiple rate plans (such as flexible, non-refundable, or discounted rates) while using RentalWise as your channel manager. Understanding this relationship is essential for reducing cancellations and offering guests pricing options with different cancellation policies.

Important: RentalWise only manages one rate plan per property on Booking.com—your Standard Rate Plan (also called the default rate plan). This includes:
Pricing/rates
Availability
Default cancellation policy
All other rate plans (flexible 7-day, 14-day, non-refundable, weekly discounts, etc.) are created and managed directly in Booking.com, but they must be based on your Standard Rate Plan so they inherit the correct pricing and availability from RentalWise.
Your default cancellation policy for each property is managed within the Booking.com channel connection in RentalWise.
Navigate to Channels in your RentalWise dashboard
Select your Booking.com connection
Find the property you want to configure
Click the "Manage" button next to the property
Locate the cancellation policy settings
Select your desired default cancellation policy from the available options
Note: Only ONE cancellation policy can be selected per property for your default rate plan. This policy will apply to your Standard Rate Plan on Booking.com.
To ensure payments are collected appropriately based on your cancellation policies, configure a payment schedule for each property.
Navigate to Settings → Payment Schedules
Choose from the pre-built options or create a custom schedule:
100% due on reservation
50% after confirmation, remainder before arrival
3 days before arrival
Associate the payment schedule with each property
Tip: If you want to reduce the risk of late cancellations, consider setting your payment schedule to 100% due on reservation. You can then honor your cancellation policy by manually refunding the appropriate amount if a guest cancels within the allowed window.

Additional rate plans with different cancellation policies and discounts are created directly in Booking.com Extranet.
Log in to your Booking.com Extranet
Navigate to Rates & Availability → Rate Plans
Click to create a new rate plan
Configure your desired settings:
Cancellation policy (e.g., Flexible 7-day, Non-refundable)
Discount percentage (e.g., 5%, 10%, 15% off standard rate)
Meal plans or value adds (if applicable)
When creating additional rate plans in Booking.com, you must base them on your Standard Rate Plan (which is powered by RentalWise). This ensures they inherit the correct pricing and availability.
During rate plan creation in Booking.com, look for the option: "Based on one of my current rate plans"
Select your Standard Rate Plan (the one mapped from RentalWise)
Complete the rate plan setup
Important: Do NOT select "Set up as a new rate plan" for rates you want RentalWise to manage pricing for. Always derive from your Standard Rate Plan.
After setup, your Booking.com rate plan structure should look like this:

The cancellation policy attached to each rate plan gives you the contractual right to charge the guest according to those terms. However, enforcing the cancellation penalty is always up to you manually. RentalWise does not automatically process cancellation fees.
Cancellation policies in RentalWise are set per property, per channel—not globally per property. If you have properties on multiple channels, you'll need to configure each channel connection separately.
RentalWise collects credit card information from OTAs (including Booking.com) in a PCI-compliant way via your connected payment processor (Stripe). If a card fails to store, you'll see an error in the reservation notes.
If you modify your additional rate plans in Booking.com, those changes stay in Booking.com. RentalWise only pushes rates and availability to your Standard Rate Plan.
Scenario: Guest books using your "14-Day Flexible" rate plan and cancels 10 days before arrival. Action: Review the cancellation policy for that rate plan (50% charge within 14 days). Manually process the appropriate charge through your payment processor.
Scenario: You want to offer a non-refundable rate with a 15% discount. Action: Create the rate plan in Booking.com with non-refundable policy and 15% discount, based on your Standard Rate Plan. RentalWise will supply the base pricing.
